The right CCTV distributor is judged on how it behaves after the invoice, not before it. Anyone can quote a keen price on a Hikvision or Dahua SKU; far fewer can turn an RMA around before your client starts asking questions, tell you honestly that a recorder is eight weeks out rather than "in stock soon", or put a real engineer on the phone when a site survey throws up something awkward. For UK installers in 2026, the supplier relationship is operational infrastructure — trade terms, stock visibility, technical pre-sales and warranty handling all feed directly into whether a job finishes on schedule and profitably. This guide sets out what to expect, and what to walk away from.
What Actually Makes a Good CCTV Distributor in 2026?
Judge a CCTV distributor on what happens after the invoice — RMA turnaround, pre-sales design help and honest lead times — not on the headline price of a Hikvision SKU.
Any cctv distributor can quote a Hikvision or Dahua part number. What decides whether your install finishes on Friday is the operational plumbing behind that quote.
The five things to vet
Trade account terms. Ask about credit, delivery cut-offs and — the one that catches small firms out — minimum order value. We run no minimum order at CCTV Line: single units or bulk, both are fine, and you can open a trade account before you need it rather than mid-job.
- RMA and warranty turnaround. Get the process in writing: who raises it, whether you get a replacement while the faulty unit is assessed, and how long assessment typically takes.
- Pre-sales technical support. A genuine distributor will sanity-check your PoE budget, storage retention maths and camera choice for the lux conditions. An order-taker just reads the SKU back to you.
- Honesty about lead times. "Two weeks" that turns out true beats "in stock" that turns into a call on delivery day. Ask what happens when a line slips.
- After-sales training and documentation. Datasheets, firmware notes and a person who answers the phone — ours is 0330 441 9429, Mon–Fri, from 305 Holbrook Lane, Coventry, with stock dispatched UK-wide same day on orders placed before the published cut-off.
If an existing supplier fails two or more of these, the price difference rarely covers the lost day on site.
What Trade Account Terms Should You Actually Negotiate?
Negotiate the terms that remove friction from ordering — minimum spend, credit, delivery coverage and returns — not just the headline discount. A percentage off list price is worth little if every small job forces you to buy stock you don't need.
Minimum order value is the first thing to pin down. We advertise no minimum order requirement at CCTV Line, so a single replacement dome for a call-out and a 40-camera warehouse fit-out both go through the same trade account without a spend threshold pushing you into over-ordering.
Questions worth asking before you sign up
Minimum order value — does it apply per order, per month, or is there none at all?
- Credit terms — pro forma from day one, or a 30-day account once you've established a trading history?
- Delivery coverage — genuinely UK-wide, or split by region with different cut-offs? Our stock ships UK-wide from 305 Holbrook Lane, Coventry, CV6 4DG, dispatched same day on orders placed before the published cut-off.
- Returns and DOA handling — who pays carriage on a faulty NVR, and how long does a replacement take?
- Who answers the phone — a named contact or a general queue? Ours is 0330 441 9429, Monday to Friday.
Ask these before you place the first order, not after a job stalls. You can open a trade account or check what's in stock at cctvline.co.uk — the same questions apply to any Hikvision or Dahua CCTV distributor you're weighing up.
How Fast Should RMA and Warranty Turnaround Be?
Ask any distributor for their average RMA turnaround in days before you commit stock to them — a vague answer is itself the answer. A dead-on-arrival dome or an NVR that drops its array after three weeks is routine in volume work; the difference between suppliers is whether that becomes a same-week swap or a fortnight of chasing an inbox.
Faults land at the worst moment — a customer is standing next to you asking why channel 4 is black. What you need from a distributor is a process you already understand before it happens, not one you discover under pressure.
Get these answers in writing before you open an account
Advance replacement or return-first? Can a replacement ship while the faulty unit is in transit back, or must it be received and bench-tested before anything moves?
- Who pays carriage on a warranty return? Two-way carriage on a mid-range NVR eats the margin on the job.
- Named RMA contact or general inbox? A named person means case history; a shared inbox means re-explaining the fault to whoever opens it next.
- What counts as a warranty claim? Lightning, PoE surge and water ingress are usually excluded — know the boundary before you argue it.
Ask the same three questions of a Hikvision distributor, a Dahua one and whoever you buy switches from; the answers will differ more than the pricing does.
If a supplier won't state its RMA process before you've spent anything, treat that as the preview. Our trade account terms are set out at cctvline.co.uk/account, or call the Coventry office on 0330 441 9429 and ask.
Why Does Technical Pre-Sales Support Matter More Than Price?
Pre-sales advice pays for itself before you place the order — a single design error costs more in return visits than any per-unit discount saves. The distributor conversation that matters happens while the kit list is still editable.
Think about where jobs actually go wrong. A PoE budget worked out camera-by-camera but not against the switch's total wattage leaves you two cameras short of a working system on commissioning day. A lens picked on focal length alone can leave a car park entrance readable on the drawing and unusable at 3am. Neither error shows up in a price comparison.
What good pre-sales support looks like
- Someone who checks camera count against NVR channel and licensing limits before the order ships, not after you've unboxed
- Straight answers on PoE budget and switch sizing for a multi-camera run, including headroom for IR and heaters
- Willingness to talk a design through on the phone rather than just process a cart
That conversation is also where accessory gaps get caught — a run of 12V analogue cameras needing a fused distribution box like our 9-channel 12V 10A unit at entry-level pricing, for example, rather than nine separate plug-tops.
At CCTV Line we take pre-sales questions on 0330 441 9429 or through the contact page, Monday to Friday. If you're comparing a Hikvision CCTV distributor against a Dahua CCTV distributor purely on line price, ask each one a design question first — the answer tells you more than the quote does.
How Should a Distributor Handle Stock Shortages and Lead Times?
Judge a distributor on how they communicate a shortage, not on whether they ever have one. Component and chip supply has made intermittent gaps normal across the trade; a supplier who claims they never run short is telling you something worse than a delay.
The installer who gets burned isn't the one whose supplier ran short. It's the one who found out at 8am on install day, van loaded, customer waiting, with no substitute on the shelf.
Three questions worth asking before you place a big order
- Do they tell you, or do you chase? A delay flagged on the day you order costs you a diary change. The same delay flagged on dispatch day costs you a wasted visit.
- Can they offer an equivalent? "Sorry, it's out" is not a service. A distributor who knows the range should be able to point at a camera or recorder that meets the same spec and is on the shelf now.
- Is the accessory shelf deep enough? Big-ticket kit gets the attention, but jobs stall on the small stuff — power supplies, connectors, cable.
That last point is the quiet one. A 16-camera install held up by a missing PSU is just as dead as one waiting on the NVR, which is why we keep breadth in the boring categories — the UKVISION 12V 10A 9-channel power distribution box, for instance, is entry-level priced with nine individually fused outputs and a regulated 12V DC rail.
If a lead time is genuinely uncertain, ask for it in writing before you commit the labour. Our team is on 0330 441 9429, Monday to Friday.
